Tixmo Privacy Policy

This Privacy Policy ("Policy") applies to all users ("Users") of the Tixmo platform ("Tixmo", "the Platform"), a service provided and operated by Ray Otsuka for event ticketing and membership management. By accessing or using Tixmo, Users agree to the terms described in this Policy.

1. Information We Collect

Tixmo may collect the following types of information:

  • Mandatory Registration Information: Full name, affiliated organization (e.g., college or society), email address, and unique identifiers (e.g., crsID).
  • Authentication Data: Information provided via third-party login services such as Google (email, display name, profile picture).
  • Optional Profile Data: Hobbies, introductions, and other voluntarily submitted details.
  • Event-Related Information: Allergy information, dietary restrictions, accessibility needs, or other data submitted for event participation.
  • Uploaded Media: Profile images or other files uploaded via Firebase Storage or similar services.
  • Access Logs: Login timestamps, IP addresses, activity records, and other data collected for security and operations.
  • Payment Data: Payment details processed via Stripe. Tixmo does not store full credit card numbers or sensitive payment credentials.

2. How We Use Your Information

Tixmo uses collected information to:

  • Authenticate users and manage access within organizations.
  • Facilitate event registration and ticket issuance.
  • Enable membership directories and internal communications.
  • Improve platform functionality and resolve technical issues.
  • Send notifications, event reminders, and organizational updates.
  • Ensure platform security and prevent abuse.

3. Information Sharing and Visibility

  • Tixmo does not share user data with third parties except where required by law or explicitly authorized by the user.
  • Organization administrators (e.g., society committees) may access relevant member and event data.
  • Profile visibility and member directory access are controlled by each organization's own settings and policies.

4. Use of Third-Party Services

Tixmo integrates with the following third-party services:

  • Firebase (Google LLC) — for authentication, database, and file storage
  • Stripe, Inc. — for payment processing
  • Resend, Inc. — for transactional email delivery
  • Other services as necessary to operate the Platform

By using Tixmo, Users also agree to the respective Privacy Policies and Terms of Service of these providers. Tixmo is not responsible for their handling of data.

5. Data Retention

  • User and organization data will be retained as long as accounts remain active or as required for service continuity.
  • Upon request, data will be deleted within 30 days unless retention is required by law or internal policies.

6. User Rights

Users have the right to:

  • Access, correct, or request deletion of their personal data

7. Cookies and Tracking Technologies

Tixmo uses cookies and related technologies for:

  • Authentication and session management
  • Improving user experience

By continuing to use Tixmo, you consent to the use of these technologies.

  • Communications with Tixmo are encrypted via HTTPS.
  • Reasonable technical and organizational measures are taken to safeguard user data.
  • However, complete security cannot be guaranteed. Tixmo is not liable for damages caused by cyberattacks or data breaches beyond its reasonable control.

9. Account Suspension and Termination

Tixmo reserves the right to suspend or terminate user accounts at its discretion, including but not limited to cases of:

  • Violation of Terms of Service
  • Submission of false information
  • Security threats or platform abuse

10. Changes to This Policy

This Policy may be updated without prior notice. Significant changes will be communicated via the Platform or email. Continued use of the Platform after such updates implies acceptance of the revised Policy.

11. Governing Law

This Policy is governed by the laws of England and Wales. Any disputes arising in connection with this Policy shall be subject to the exclusive jurisdiction of the courts of the United Kingdom.
